Acopio

Know what's on the shelf without going to look.

Acopio turns your Google Sheet into a real warehouse system — in, out, locations, costs and low-stock alerts. We install and set it up for you.

Your data stays in your own Google Drive. No per-user fees.

The problem
  • "I don't really know what we have until someone walks out and counts it."
  • "Material leaves and nobody writes down which job it went to."
  • "Every week I lose hours making the spreadsheet agree with the shelf."
3–5 hrs

Every week, per person, spent reconciling inventory by hand — before anything has actually gone wrong.

Industry figure for businesses running inventory on spreadsheets.

Why Acopio

Three things the others can't offer.

Not a feature list — these are structural. They come from how Acopio is built, so a competitor would have to change their business to match them.

Ownership

Your data never leaves your Drive

Acopio runs inside your own Google account. There's no Acopio server holding your inventory. Stop paying us and your system keeps working — nothing to migrate, in or out.

Pricing

No charge per user

Ten people in the warehouse cost the same as one. Everyone gets their own login and their own permissions. Most inventory software bills per seat, and that's where the real money goes.

Setup

We set it up, on your data

Your categories, your rack names, your team, your suppliers — configured with you on a call, not left as homework. You get a working system, not a login and good luck.

What it does

Built by someone who runs a warehouse.

Acopio started as the system for a window-installation shop's own floor, and it is still in use every day. Everything here exists because a real shift needed it.

  • In, out, transfers, returns and waste — every movement tied to a person, a job and a rack.
  • Stock by rack location, so "where is it" has an answer before anyone walks.
  • Low-stock alerts on the materials you choose, at the level you set.
  • Cost per job — weighted average cost, stamped on each movement so last year's numbers stay last year's.
  • Incoming deliveries, with a morning summary of what's arriving today.
  • Photos and PDFs attached to any movement, filed privately in your Drive.
  • Roles and permissions — decide who sees costs, who can edit history, who's read-only.
  • Nightly backups to your own Drive, kept 30 days.

What it doesn't do yet

  • Barcode scanning and label printing
  • Cycle counting
  • Accounting or e-commerce integrations
  • A native phone app — it's a web app, and works on a phone

We'd rather you read this here than find it in the demo. If any of these are essential to you today, Acopio isn't the right fit yet — and we'll say so on the call.

Where it stands today
Every day

Acopio has run a real window-installation warehouse floor, in production, since 2026 — the same build customers get.

Warehouse running Acopio today: our own, a window-installation shop. This number counts real installations and only goes up when there are some.

See it work

Ninety seconds, no signup.

A short walk through recording a delivery, sending material out to a job, and finding a rack — on the real system, not a mockup.

Needs your recording

A 60–90 second screen capture of the real app

Record: an Entry with a photo attached, an Exit assigned to a job, then the Warehouse Map with a rack opening. No narration needed — captions read better and work with the sound off.

In their words

What the people using it say.

Real names, real companies, collected after they had been running it for a month. Nothing here is written by us.

Needs real customers

No testimonials yet — so there are none on this page

This section stays empty until real customers have said something real. Invented quotes are the fastest way to lose a buyer who checks, and they are not worth the risk.

Price

Plain, and the whole of it.

Setup — once
$500

Installation, configuration on your own categories and racks, your team loaded, and training. Done with you on a call.

Support & updates
$49 / month

Or $490 a year — two months free. Every improvement and fix is included; there's no upgrade to buy later.

More than one warehouse?
Let's talk.

If you run two or more warehouses or locations, get in touch before you sign up: there is a rate for each additional warehouse, and we can usually do better on the whole. Tell us how many.

No charge per user, ever. A crew of two and a crew of twenty pay the same. Comparable systems bill $30–$150 per person per month, which is where the cost quietly stops being small.

From the founder

Why this exists.

JC
Jose Castro Founder · Warehouse Manager at a window-installation shop

I run a warehouse. Not a software company that studied warehouses — an actual floor, with actual racks, where being wrong about what's on a shelf costs a crew half a morning.

I know what it costs to walk out and check because the spreadsheet can't be trusted. I know what it's like to find out on a Friday that the material for Monday's job left last week and nobody wrote it down.

Acopio exists because I needed it and nothing fit. The serious systems cost more than the problem and take months to roll out. The cheap ones want your team to abandon the tools they already know. Neither was built for a company our size.

So we built it to sit somewhere unusual: your inventory lives in your Google Drive, not ours. We don't host it. We don't store it. We can't read it. There is no Acopio database with your suppliers and your prices in it, because there is no Acopio database.

People ask what's left to hold onto, if we hold nothing at all. The answer is the part that matters: the commitment.

We can't hold your data hostage, because we never have it. If you stop paying, nothing gets switched off — your system keeps running and your history stays yours. That means we have to earn the next month, every month, on the work alone. It's a harder way to build a business. It's also the only way I'd want a supplier of mine to work.

You're not buying a login. You're buying somebody who has stood where you're standing, and who has to keep being useful to stay.

Talk to us

Twenty minutes, and we'll both know.

There's no signup button on purpose. Every installation needs a short conversation first — how your team's email is set up decides how we install it, and getting that wrong is hard to undo. So we do it with you.
